How your record stays current
The Vault, the compliance clock, and the invoices ledger — how each one actually works.
A look at the pieces behind the record, so you know what to expect from each one.
The compliance clock
Cofolio works out your Companies House and HMRC deadlines from facts you (or Companies House) already gave it — your year end, incorporation date and filing history. Confirmation statement, annual accounts, Corporation Tax, VAT and PAYE are covered; each one shows as filed, upcoming, or due soon on your overview page.
This is tracking, not filing: Cofolio tells you what's due and keeps a record of it, but you or your accountant still send the actual return.
The Vault
Forward a document to your record, snap a photo, or upload a file, and it's stored in the Vault — filed by kind (certificate, filing, letter, insurance, agreement, banking, or other), with a visibility and a retention rule attached. Every document you add is one click away, and nothing lives only in an email thread or a downloads folder.
Today, filing a document into the right category is something you choose when you add it — Cofolio doesn't yet read a document and work that out for you automatically. That's the direction things are heading, but it isn't switched on in the main upload flow yet.
The invoices ledger
Invoices is a structured record of what you're billed: supplier, amount (net and VAT), currency, invoice date and due date, with a status — draft, awaiting payment, paid, or void. You can optionally attach the source document, so the invoice and the bill it came from stay linked. It's a ledger you fill in, not an automatic bookkeeping feed — no bank connection, no VAT return calculation.
The company index
Company number, tax references, VAT number, bank accounts, and everything else you're normally digging for, on one page. You can copy the whole record as a clean text block — handy for sending to your accountant or a bank.
